Moving Offices in Dubai: What to Do with Furniture, Files, and IT Equipment During the Gap

Office moves in Dubai rarely fall into place. The lease on the old premises runs out before the new space is ready. A fit-out is a few weeks behind schedule. A company downsizes into a smaller office and is left with desks and cabinets they can’t fit in but don’t want to throw away.

The transition from one office to the next must be bridged, and all the assets of the business need a secure home in the meantime. If managed correctly, the gap hardly affects day-to-day work. If not managed properly, you can lose files, break equipment, and staff can’t find what they need.

Why is the gap so often so large?


Here are some common situations that create a storage gap when you move an office:

• Mismatch in lease dates: Landlords determine when they move out, and old and new leases rarely begin and end on the same day.

• Delays in fit-out: Offices are often new and need partitioning, cabling, and furniture to be put in, which can take longer than anticipated.

• Downsizing or hybrid working: A company moving to smaller quarters may have surplus furniture, which it wishes to retain for future expansion.

• Renovation: Refurbishing companies staying in the same building have to vacate space for a while.

It is much easier to plan for the gap up front than to react when the day of the move arrives.

What to keep close, what to put away?


You don’t have to keep everything. A good first step is to sort items into three piles.

Stay with staff: laptops, essential IT equipment, current working files, and anything necessary for day-to-day work.

These should go with the team, whether staff are working from home or from a temporary space.

Store: desks, chairs, meeting tables, filing cabinets, reception furniture, archived files, and spare equipment not needed until the new office is ready. The team can manage these items in business storage, so they don’t have to worry about them during the move.

Dispose of or give away: broken furniture, old equipment, and records that have passed their retention date. Moving is a perfect opportunity to get rid of unnecessary things, and it reduces what you need to store.


Furniture Storage Protection:


Office furniture is expensive to replace and can easily be damaged in transit and storage.

Disassemble if you can: Large desks and workstations take up less space and are less prone to break when they are dismantled.

Keep fittings together: Attach bag and tag screws, brackets, and keys to the item they go with.

Surfaces with a wrap-around: Blankets, stretch wrap, and corner guards protect against scratches and dents.

Avoid heat and humidity: Hot conditions can warp, crack, or mold wood, leather, and upholstery. Come summer in Dubai, climate-controlled furniture storage is the safer bet.

Don’t stack heavy items on soft furnishings: “Loading carelessly can crush chairs and sofas.

Keeping files safe


Paper files often contain confidential information on clients, employees, and finances. They can more easily lose track during a move or be seen by the wrong people.

• Box and seal files by department: with a clear label on the outside and no sensitive data exposed.

• List the contents: of each box so specific files can be found without opening every box.

* Restrict access: to stored files to named staff.

• Store files in a secure, monitored facility: not in a corridor, car park, or unsecured room.

• Choose what to keep before you pack: Storage rather than secure destruction of records is no longer needed for retention.


IT equipment management


Take special care with computers, servers, screens, and network equipment.

• Backup data before you unplug anything.

• Label all cables and take photos of how equipment is connected so it can be reassembled quickly.

• Pack screens and fragile hardware in original boxes or padded packaging.

• Keep equipment in a cool, dry environment. Heat and humidity can degrade electronics and batteries.

 • Keep a list of serial numbers so that every item can be accounted for when it comes out of storage.


Staged planning of the move


A simple timeline keeps the gap manageable:
 
1. Confirm dates for vacating the old office and moving into the new one; allow for delays.
2. Split into keep, store, and get rid of groupings.
3. Book storage early, especially if the move is in a busy period.
4. Label and inventory all before it leaves the old office.
5. Arrange to be collected from the old office and delivered to the new office, preferably using the same team to collect and deliver.


The bottom line:


The space between offices is one of the most stressful parts of any move, but it doesn’t have to get in the way of business. Making early decisions about what to store, protecting furniture and equipment properly, and keeping files secure turn a messy transition into a manageable one.
With a clear plan and appropriate storage in place, employees can continue to work while their old office is emptied and their new one prepared.
